Under the overall guidance of the Regional Programme Manager and in the direct supervision of the Project Coordinator, the Finance/Administrative Clerk will provide administrative support in the development, implementation and monitoring of IOM’s project activities under its social cohesion and resilience pillar.

For the purpose of this recruitment, IOM puts a focus on building the capacity of government authorities to respond adequately to the needs of vulnerable population and to provide tailored services timely. IOM is working with a wide range of governmental and non-governmental partners in different fields including reparations for survivors of torture, assistance to vulnerable migrants; counter trafficking in human beings and counter smuggling of migrants. The type of activities to be implemented will include engaging youth in environmentally and socio-economically sustainable initiatives.

Core Functions/Responsibilities

  1. Assists with administrative/finance filing for the smooth running of the project processes and activities in the office.
  2. Maintain the files and other documents (electronic and/or hard copies).
  3. Assist with drafting of reports and other documents in both English and BSC languages, including translation, when required; and
  4. Support the organization of meetings, training activities and other project related events by carrying out logistical activities such as arrangement of meeting facilities, equipment, materials, preparation of correspondence and drafting and assembling of documents.
  5. Arrange and attend meetings between local parties/partners, stakeholders and the project team when required; taking minutes
  6. Perform other related duties as assigned.

 

All duties and responsibilities will be carried out in strict adherence to IOM policies and guidelines, including those related to confidentiality and data protection.

Required Qualifications and Experience

  • High School diploma with three years of relevant experience; or,
  • Bachelor’s degree in Social Sciences, Business Administration or related field with one year of relevant professional experience

Competencies

  • Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook; previous experience in SAP is a distinct advantage;
  • Attention to detail, ability to organize paperwork in a methodical way;
  • Discreet, details and clients-oriented, patient and willingness to learn new things; and,

 

Experience:

  • Prior experience in similar positions involving administrative and support tasks.
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
